Organizing your collection

    How do you keep your collection managed. Here is portion of mine. I use an Appleworks Excel Program.

    I made a spreadsheet in excel. I never kept an updated list till just recently when I decided to sell off some coins for new stuff. Now I realize that I should have started along time ago. It would have made it easier. It’s also helps to have info on your collection if something should ever happen to me.

    I have boxes upon boxes full of coins. I don't really have any organized. The best part is, is I have obtained boxes and boxes within the past 7 months (when I started collecting again), and 95% of them have been free : )

    Indeed, I get lots of free stuff. Every week food companies come to my school, to talk to us food science students, and they give us tons of free food. Kraft came, and I now have more macaroni and cheese than I can carry. Literally. When hershey came, they gave us 15 pound bags of candy :D I gave it away to appreciative friends, as I can't have that much candy, it wouldn't be good for me.

    I only have around a dozen "High grade" coins so my mental notes will due just fine.

    For my AGE, ASE and APE collection I have incorporated the mints information sheet along with Mintages and pasted them into my redbook. I simply color in with Green the denomination as I add them to my collection. For slabbed coins I put an "S" at the bottom of the box...easy and neat..I also keep a running spreadsheet in the same format..

    I have an old slide projector album that I have my coins sealed in, I just label the pages Dollars, Halves, quarters, etc

    Lotus Word Pro for inventory because it's easy to insert a line anywhere in the document if something new comes in:

    ALBANIA (9)
    KM 27 - 1940R - .05 Lek - aluminum - bronze
    KM 29 - 1940R - .20 Lek - stainless steel
    KM 30 - 1940R - .50 Lek - stainless steel
    KM 35 - 1957 - ½ Leku - zinc
    KM 5 - 1930V - 1 Lek - nickel
    KM 31 - 1939R - 1 Lek - stainless steel
    KM37 - 1957 - 2 Leke - zinc
    KM 38 - 1957 - 5 Leke - zinc
    KM 47 - 1969 - 50 Qindarka - aluminum

    U.S. Coins are in Dansco and Whitman albums, World coins in 2x2's in binders.

    At one time I said I'd do a mini tour of my collection and bonedigger has provided a good forum,Hopefully you won't find it boring.It will need two posts.
    First the storage area,basically a locker with a wicker cabinet above.
    On top,the Dansco albums,mainly US and the Euro Set.
    In the cabinet,supplies,boxed proof sets,GSA's brown Ikes etc.
    The locker's drawer has Commemoratives & proof eagle set.
    The locker contains the coin albums.

    The albums consist of:
    Ancients #1 500 BC-1100 AD
    Ancients #2 1100-18th century
    US type set
    older proof sets,envelopes & boxes.
    Complete Philly date set collection ms63+ 1934-1954 in Capital Plastics holders.
    And to answer the original question,I photograph all my valuable coins and add text,then into a notebook.
    That's about it.Anyone fall asleep? :)

    gx,I've posted this twice already but here is where you can get the plastic 2x2's.They're for US coins but with the exception of tiny little ancients,they will fit most older foreign coins.For the little guys,buy Airtight holders in the correct size and they will fit perfectly into Sacajewea holders,depending on the size of the coin.If you have a coin that is larger than a Sac but smaller than a Half,the plastic part of the large Airtights will squeeze right into a Half dollar holder.I'll show examples of each.
