I do the same , first off all my coins have a serial # sticker that i put in my excel and I can get any information that I filled in.

First is the serial number "TC0012534"
    Country
    unit
    denomination
    year
    mint
    grade
    asked price
    paid price
    explication
    date aquired
    other notes
    value
type " this is where I put the type of metal , ag .952 ....
AMW is the amount of the metal in ounces ( so i can see my entrie collection weight in silver or gold or watever.)
final column is the status of the coins i use a 1-2-3 system to let me know where coins are and if they are listed in my website etc...

I am just starting one for my collection ...I taught myself excel a few weeks ago and made a silver spreadsheet with 90% silver separated by denomination face value, generic rounds and bars and ASE's with total silver value changing to spot prices....the one for my collection I plan on pics obv and rev year, mint, grade, bullion value, maybe brief history, price paid, date of purchase......

I would n't keep a paper copy but I would e-mail myself the work every week or so to keep a back up.
